Payment & Cancellation Policy

How payments, cancellations, rescheduling, and weather days work.

We want every charter to be effortless from the moment you book. The terms below explain exactly how payments, cancellations, rescheduling, and weather days work, so there are never any surprises. By placing a booking with Zen Marine Charter, you agree to these terms.

Payment Terms

Booking 30 or More Days Before Your Charter

  • 50% payment plan. Half of your total charter price (including any add-ons such as private chef, catering, or beverage packages) is due at the time of booking. The remaining balance is automatically due 30 days before your charter date.
  • You will receive automated reminders by email before your balance is due. If the remaining balance is not received by 30 days prior to your charter date, your reservation may be released and amounts paid are subject to the cancellation schedule below.

Booking Within 30 Days of Your Charter

  • The full charter price is due at the time of booking.

Your Date Is Confirmed Only When Payment Is Received

  • Receiving a quote or invoice does not hold your date. Dates and time slots are confirmed on a first-paid, first-served basis. Your charter is locked on our calendar the moment your payment (50% plan payment or payment in full, as applicable) is successfully processed.
  • All payments are processed securely through Stripe. You may pay in full at any time.

Pricing

  • Charter pricing varies by season and demand. The price displayed for your selected date at the time of booking is your locked-in rate.

Cancellation Policy

Payments are made under a payment plan and are non-refundable except as set out below. If you need to cancel, your refund is based on how far in advance of your charter date we receive your written cancellation notice:

You and Zen Marine Charter agree that it would be difficult to calculate actual damages in the event of a cancellation, and that the amounts above constitute reasonable, agreed-upon liquidated damages — they reflect crew scheduling, provisioning, vendor commitments, and the lost opportunity to book your reserved slot.

Rescheduling Policy

We would much rather move your charter than cancel it. Plans change, and we make rescheduling easy:

  • Free date changes up to 48 hours before departure. You may move your charter to any available date at no rescheduling fee, provided we receive your request at least 48 hours before your scheduled departure.
  • Rate difference applies. If your new date falls in a higher seasonal rate tier, you simply pay the difference. If it falls in an equal or lower tier, no additional payment is required (no partial refunds are issued for moving to a lower-rate date).
  • 12-month rebooking window. Rescheduled charters must be completed within 12 months of your original charter date, at your original locked-in pricing.
  • Inside 48 hours. Within 48 hours of departure, your crew, captain, chef, and provisions are already committed. Date changes inside this window are not available, and a missed departure is treated as a no-show.

Weather Policy

Your safety is our captain's first responsibility. The decision to cancel or shorten a charter due to weather or sea conditions rests solely with the captain.

  • If we cancel for weather: your full payment is protected as a charter credit. You may rebook any available date of an equal or lower seasonal rate tier within 12 months, at no charge and at your locked-in price. Weather cancellations are not eligible for cash refunds — your charter is rebooked, not lost.
  • Rate tiers for weather rebooking: guests who booked a peak-rate date may rebook any date; guests who booked a mid-rate date may rebook a mid- or standard-rate date; guests who booked a standard-rate date may rebook another standard-rate date.
  • Rain alone does not cancel a charter. Brief showers are common on the water. Charters proceed unless the captain determines conditions are unsafe.
  • If we cancel for mechanical reasons: if your charter cannot operate due to a vessel mechanical issue and no comparable vessel is available, you will receive a full refund or a full-value rebooking credit — your choice.
